Hi,

Below is the brief description.

Overview

The Mail Channel in Skelta BPM.NET 2007 allows Human Activities like Approval and Checklist to be sent by email to the intended recipient(s) who can perform the necessary action from the Inbox of email clients like Outlook. The Human Activities have to be configured to enable this functionality. The topics in this section describe the steps required to make these configurations.

 

Configuring the Activities

In the Action Properties section of the Skelta BPM.NET 2007 Process Designer, click on the Configuration node to expand it. This node has the Delivery Channels  property, which you can use to set the medium through which the activity will be delivered to the recipient(s). You can select "MailWorkList" or "WebWorkList" or both from the pop up window for this property. 

  • If MailWorkList is selected the action is sent only to the recipient's email Inbox. In this case, the actor can view the work item and respond as required without leaving their email Inbox.
  • If WebWorkList is selected the action is sent only to the recipient's WorkItem List Inbox. This means that the actor will have to open the WorkItem List to view the activity and respond.
  • If both channels are selected the activity will be sent to the WorkItem List as well as by email. In this case, the actor can respond to the work item email delivered to the email Inbox. They will also be able to view and respond to work items from the WorkItem List.

 

Action Response from Email clients

There are three methods in which the actors can respond to the work item assigned to them through the email channel:

  1. Offline
  2. Online
  3. Outlook

 

These methods are described below.

 

Offline: This method is useful when users are not directly connected to the Internet. For example, when you are using a laptop computer. In this method, actors can type in their comments and their choice of response within the square brackets provided against the respective field. For instance, if an Approval activity is received in the email, and you have chosen to approve, then you can reply to the email with your response. In your reply you can type your comments against the Comments field and "Approve" against the Action field. The response will be sent when the email client next sends out the emails.

 

Online: This method can be used when users are connected to the Internet. In the body of the email there is an online section, where users can type in their comment and specify their response using the controls provided. For example, there will be two buttons - Approve and Reject - in the Approval Activity email. You can click on the preferred button. In the case of Checklist emails, after specifying the values, you can click on the Submit button that is available to submit your response. In both cases the response will be sent immediately.

 

Outlook: This method is exclusively for users having Outlook as their email client. In this method you can right click on the work item email in the Inbox and select the appropriate response from the context menu. For example, if it is an Approval activity then the context menu will show two options - Approve and Reject - from which the user can select one. This feature can be enabled in Outlook by installing a utility that is provided along with Skelta BPM.NET 2007.

Hi Joseph,

First you have to ensure that you've configured the SMTP and POP3 settings trough "Form Configuration Wizard".

-> Select the properties of Approval property
-> Open the properties "Delivery Channel" and select the checkbox MailWorkList and Click "Save Channels" button.

When the workflow triggered next time, it will send approval to the approvers email.
-> If approver is not using MS Outlook, then he/she can use the following method:

In your reply you can type your comments against the Comments field and "Approve" against the Action field. The response will be sent when the email client next sends out the emails.

1. If approver is using MS Outlook, then he/she can right click the mail and pop up will have a menu item "Skelta" with options "Approve" and "Reject". He can select the options he want.

2. If approver is using MS Outlook 2007, then one more option is available. Open the mail in the new window, the one more ribbon-bar will be available with the title "Skelta", and in that tab you can see the options available [Approve and Reject] as buttons. He can click and act on it.

Hi!

I want to use Gmail.com as a notification server. I installed skelta add-ins successfully. E-mail confirmatons ("approve"  for example) was sent to my gmail.com mailbox by Outlook2007 and I read them.

But Skelta doesn't get it from my mailbox and an activity has "awaiting" status.

Which parameters are needed to be set to corrective work.

Hi,
You need to send a reply back for the approval to get processed by the Skelta notifications server or Use the AddIn UI for submitting the task
Which one did you use ?

Hi!

I use Skelta add-in for Outlook 2007.

Emails was sent to Outlook successfully. After that I chose "Approve" in Skelta Ribbon Bar and I recived the letter in my gmail mailbox. But Skelta doesn't connect to mailbox to recive letter from it.

And I don't know what parameters are needed to be set.

Hi,
I'am assuming you are using BPM.NET 2007.
The reply to be processed by Skelta notification service requires a POP3 configuration for pulling the email reply back from google. Google provides a pop3 account which has to be integrated for the notification services.

Skelta Farm Configuration Wizard -> Click Next 
Select Service  Settings -> Click Next
Click on the Image on the right hand side of SMTP Notification.
Configure POP3 Account settings in Mail Server Tab

Please find the attached image on where we need to configure POP3 account.

The Google pop3 account details are :
(POP3): pop.gmail.com
Port : 995
This also requires some changes in your gmail account,

I set correct parameters but activity has "waiting" status yet

In activity i only set mailworkchannel checkbox.

Do I need configure anything else?
